Do you carry insurance for school and district events in Houston?
Yes. A1 Ice Cream carries comprehensive general liability insurance. We issue certificates of insurance naming the campus, school district, or any other entity your facilities coordinator specifies — same day, in whatever format the district requires. Named additional insured endorsements are available. Health inspection records are on file and available on request. We know school districts have vendor documentation requirements, and we have everything ready before you need to ask for it twice.
Which Houston-area school districts does A1 Ice Cream serve?
We serve all Houston-area school districts including Houston ISD, Katy ISD, Cy-Fair ISD, Spring ISD, Klein ISD, Pearland ISD, Fort Bend ISD, The Woodlands ISD, Lamar Consolidated ISD, Alief ISD, Humble ISD, and more. If your district isn't listed, reach out — if your campus is in Greater Houston, we almost certainly serve it. We travel to all schools within the A1 service area for a flat $50 travel fee.
How quickly can you serve a large number of students?
We've served 400-plus students in a single field day afternoon without documented line complaints. Our service window is designed for throughput: students approach, choose from the pre-selected menu, receive their treat, and move on — no extended browsing delay, no service gaps. For large whole-school field days, we position the truck at the most accessible point on campus, communicate the menu on signage in advance, and run the window efficiently enough that the ice cream never becomes the event bottleneck. For events over 300 students, discuss your campus layout with Nadeem at booking and we'll plan the service flow in advance.
Do you offer a PTO fundraiser give-back program?
Yes — and it's the simplest fundraiser most PTOs have ever run. Book the truck as a fundraiser event, run the normal field day or school event service, and your school receives a give-back percentage of the event total. No catalogue sales, no student order forms, no money collection from parents in advance. Just ice cream, happy students, and a straightforward payment to the school's account after the event. The give-back program is available on all three booking packages. Ask about the current give-back rate when you reach out — the math is easy and the paperwork is minimal.
Can you accommodate students with dietary restrictions or allergies?
A1's halal-conscious lineup is one of our most important features for Houston's diverse school population — most of our treats are halal-friendly, and Nadeem personally communicates gelatin status for every item to PTOs serving large Muslim student populations. For nut allergies: we do not carry nut-free certified treats, and we operate a truck that stocks products from manufacturers whose facilities may process tree nuts. We recommend notifying parents in advance that the event includes an ice cream truck and advising families of students with severe nut allergies to bring an alternative treat. We will never knowingly serve a student who has a documented allergy — but we cannot guarantee a nut-free environment from the truck itself.
What if the school's field day gets rained out?
We reschedule with no penalty for weather cancellations. Houston spring weather is unpredictable — a sunny morning can become a thunderstorm by noon, and we've navigated that situation many times. Notify us as early in the day as possible if weather is going to force a cancellation, and we'll find a rescheduled date that works for your campus. Your deposit stays applied to the new date. For campuses that have covered outdoor spaces or gymnasium access, we can sometimes pivot to a covered service location on the same day — discuss this option at booking if your campus has that flexibility.
Can the truck reposition across a large school campus during a long field day?
Yes — the truck is mobile and can reposition during a multi-hour field day to serve different grade levels or activity zones in sequence. For campuses with a long field day window (two-plus hours) and multiple student populations rotating through, discuss your campus layout and event structure at booking. We'll map out the service stops and timing in advance so every grade level gets their window without creating a single massive queue.
How far in advance should we book an ice cream truck for a school event?
For field day season — April through early June — book as early as February or March. Houston-area PTOs that plan their spring events in the first quarter get the widest choice of available dates. By April, preferred field day weekday dates are often booked. End-of-year parties (late May and June) should be locked in by April. Back to School Night events (August) can typically be booked in June or July. A $50 deposit holds your campus date the moment you're ready to commit.
Can teachers and staff also get ice cream at a school event?
Absolutely — and we encourage it. Depending on how your event is structured, we can serve faculty during the student service window (students and teachers in the same line) or hold a dedicated 10–15 minute faculty window before or after the student service block. Mention your preference at booking and we'll build it into the service plan. Teacher Appreciation Day events are structured entirely around faculty — the whole booking is for the staff.
What is the minimum number of students needed to book a school event?
We require more than 50 people to qualify for a booking — this applies to school events as well as private events. Grade-level parties, 5th-grade graduation events, and teacher appreciation bookings for smaller campuses typically meet this threshold. If you're planning a very small event for a single class, reach out and we'll have an honest conversation about whether the truck experience is the right fit for that size.
